aiblLIVE terms and conditions

This page sets out the terms and conditions from Aibl Media Limited when you purchase a ticket or register for any aiblLIVE event. By registering, you agree to comply with and be bound by these terms and conditions. 

These terms may be amended without notice. Your continued use of the site, the events and other aibl products will mean you accept these changes. We reserve the right to change, modify or otherwise alter these terms at any time. Unless otherwise indicated, amendments will become effective immediately. Review these terms periodically. 

aibl reserves the right to cancel, change the date to any date within 12 months of the then current start date, change the format or relocate the event at any time prior to the event date. You agree to obtain, at your own expense, appropriate and sufficient insurance against any risk of loss associated with the event being cancelled, postponed, rescheduled, or relocated.

1. Force Majeure
In this clause, Force Majeure means circumstances beyond the reasonable control of aibl which are reasonably likely to affect aibl's successful delivery of the event or would make it inadvisable, impracticable, illegal, or impossible to perform obligations as originally contracted under these terms, including but not limited to: failure of a utility service or transport or telecommunications network, lockout, strike or other industrial action, civil unrest, fire, flood, storms, earthquakes, chemical or biological contamination, any restriction or measures imposed in connection with a pandemic, epidemic, public health emergency, act of God, riot, malicious damage, compliance with any law or governmental order, rule, recommendation, regulation or direction, accident, breakdown of plant or machinery, default of suppliers or sub-contractors, acts of terrorism, acts of war, or governmental action or advice. 

If, because of Force Majeure, aibl cancels the event, aibl shall use reasonable commercial endeavours to reschedule the event. Without prejudice to its obligations, aibl accepts no liability and will not be liable for any compensation where the performance of its obligations under these terms is affected by Force Majeure.

2. Privacy
Please review our Privacy Policy, which also governs your visit to this site, to understand our practices. We process personal data in accordance with UK GDPR and the Data Protection Act 2018.

3. Solicitation
The site and event do not constitute a solicitation to buy or sell any investment.

4. Advice
No information contained in the site or provided at the events should be deemed to constitute the provision of financial, investment or other professional advice in any way.

5. Content of the Website and Events
By proceeding you agree to the exclusion by us of any liability, including without limitation that arising from any loss of profit or any other direct or consequential damage, in respect of any errors and/or omissions by us and/or any relevant third parties in respect of the content. The contents of the site and the events are based upon sources of information believed to be reliable. However, save to the extent required by applicable law or regulations, no guarantee, warranty, or representation (express or implied) is given as to its accuracy or completeness and aibl and its members, officers and employees do not accept any liability or responsibility in respect of the information or any views expressed herein. If you have accessed the site using a link from another site, aibl does not accept any liability or responsibility for the accuracy of information contained within the sites of other providers who have links to any pages of this site or to whom this site is linked.

6. Registration
By registering your name and email address on the site, you agree to receive email communication from aibl to keep you informed of related products and services. Your information may also be shared with our event partners and sponsors. If you choose to register using our social sign up widget, your name, email, job title, company and social profile will be processed by our platform provider to power the aiblLIVE event community experience. If your application to register is accepted, you agree that your information will be passed to our event platform provider, Inwink, where a profile will be created for you that enables access to event features.

7. Badges
Attendees must use their own badge whilst onsite at the event. Badges are non-transferable and may not be shared onsite. Any person found to be in violation of this policy will have their badge confiscated by event personnel and will be asked to leave the conference. No one under the age of 18 is permitted at any live event unless with prior written approval from a member of the aibl leadership team. aibl enables partners to scan participant badges. By allowing a partner to scan your badge, they will have access to your contact information, as provided during the registration process, which they will use to follow up post event. Your badge will also be scanned upon entry and exit to the event. This is used for analytics and health and safety purposes only.

8. Notification
You agree to notify us of any changes to your personal circumstances with respect to any information or representation made herein and to provide us with any changes to this information as we may reasonably require.

9. Ownership and Copyright
The copyright in the site, the events, and the publication (unless otherwise indicated), its contents, including all information, graphics, code, text, and design are owned by aibl and should not be reproduced or distributed without permission.

10. Use of Attendee Photos/Likeness
By registering, attendees grant aibl and its agents the right to take photographs or videos of them during aiblLIVE event activities. Attendees grant aibl the worldwide right to use, copy, distribute, exhibit, broadcast, transmit, perform, publish, and display the photos/videos of attendees, with or without names and biographic material, in any media including in print and electronic. aibl may use the photos/videos for any lawful purpose including but not limited to publicity, marketing, and advertising – and is under no obligation to compensate attendees. Attendees agree that aibl is the exclusive copyright owner of the photographs/videos. Attendees further understand that content posted to social networks will be subject to the social network's applicable terms and privacy policy.

11. Admissions Policy
Our events are open to business professionals only. Solicitation of business or distribution of materials by non-partners is strictly prohibited. Violators will be immediately removed from the event. 

Any person found to be registering to attend our events using false information or credentials or deliberately withholding information will have their application automatically denied and may be liable to prosecution. Without prejudice, the organisers reserve the right to exclude any person(s). 

Once a successful purchase transaction has been completed, tickets are delivered electronically via email to the email address nominated by the purchaser. The ticket acts as a receipt for the transaction and can be used to redeem entry at the aiblLIVE event listed on the ticket. A printed hard-copy ticket or an electronic soft-copy ticket detailing the reference number or barcode can be used to register at the event. 

aibl claims the right to reject any ticket purchase within a maximum of 7 days after the clarified payment. If this happens, a full refund will be issued in accordance with the Consumer Rights Act 2015. 

Closed Circuit Television Cameras (CCTV) will be in operation at all times during the events. The organisers reserve the right to deliver the CCTV videotapes to the Police or other competent authority as evidence if requested to do so. The contents of such videotape may be used as evidence in a court of law. 

aibl reserves the rights to film/permit approved third party filming across the show open days of the events. By attending the show, visitors permit the organisers/approved third parties to use any footage taken. 

The organisers reserve the right to exclude or remove anyone from the events or venue who does not comply with this policy or who they reasonably consider are likely to break the rules.

12. Travel
I acknowledge that aibl will not provide transport or travel expenses to or from any aiblLIVE event.

13. Health and Safety Protocols
aibl cares about the health and safety of our customers, partners, employees, and communities. We continue to monitor local health protocols and mandates to ensure we can meet them in the safest way possible. These protocols and mandates may change at any time. We will do our best to communicate any changes as they arise and appreciate your cooperation to ensure we can gather in a safe and compliant manner.

14. Partner Information
I acknowledge that aibl will consider but not guarantee partners' requests for changes at any event or conference. All items (screens, laptops, cabling and other electronic equipment, rooms, furniture etc.) supplied are on a rental basis and no exchange, transfer or refund of ordered items on-site will be entertained. Partners must pay for any damages or losses caused to items supplied to them. 

All partners are required to have the requisite Public Liability, Employer's Liability and all other insurances in place to be able to exhibit at any aiblLIVE event. 

Cancelled orders are not refundable. Non-standard items may be offered on request, subject to a separate quotation, and are subject to the same terms and conditions. Any complaint regarding rental items or installation must be lodged before the opening of the event. In respect of items rented on the day, items should be inspected immediately and tested. The equipment must be insured "all risk" by the hirer, who will remain liable until the authorised staff has collected the equipment. In case of disappearance, the equipment will be invoiced at the original insurance value.

15. Ticket Cancellations and Refund Policy
The following cancellation and refund policy applies to tickets for all aiblLIVE events and is compliant with the Consumer Rights Act 2015.

Cancellation days before event → Refund policy
- More than 100 days → Full refund 
- 99-61 days → 50% refund 
- 60-7 days → Credit voucher* 
- Less than 7 days → No refund or credit voucher 

 *Credit voucher is issued for the value of the ticket amount invested. To be used at any aiblLIVE event within 12 months of date of credit voucher. 

A senior leadership representative to attend in your place can be named at any time before the event starts and no fees will be applied to this. This transfer of pass cannot be completed onsite. More than one name change made within two (2) working days to the event will be subject to a service charge equivalent to 12% of the ticket amount. 

If your ticket is cancelled due to malpractice or misuse of discounts no refund will be issued. 

aibl reserves the right to refuse any refund based on management discretion.

16. All Tickets are Application Only
Completion of a registration form to attend the event under any of our ticket types does not automatically guarantee a place at the event. As a curated experience, aiblLIVE checks all registrations to ensure we create the highest quality event for all our attendees. 

All registrants should expect communication from aibl within 3 working days if you registration is not successful. Registrants will not be notified by aibl if their registration is successful. If your registration is denied you may be offered other relevant alternatives or a ticket refund if required. Access will not be granted onsite to rejected registrants.

17. Attending as a Complimentary Guest
Completion of an application form applying to attend as a complimentary guest at the event does not automatically guarantee a place on the programme. All applications to the event will be reviewed by aibl. Applicants will be notified by aibl if their registration is successful. 

By applying for a complimentary ticket, you are committing to attending all live days of the event. A senior leadership representative to attend in your place can be named up to two weeks before the event starts, and no fees will be applied to this. This transfer of pass cannot be completed onsite. If you or an approved representative do not attend the event, a fee of £500 will be charged to you via invoice, using the billing details supplied upon registration. Attendance of the event will be proven by our registration system.

18. Discounts and Codes
Discount codes cannot be combined with any other offers or credit received from a previous show. Any credit issued must be used by the original recipient and cannot be transferred.

Discounts cannot be retroactively applied to a completed ticket purchase. Additionally, refunds or credits cannot be issued of equivalent value to any offered discounts or promotions. Complimentary upgrades are considered on a show-by-show basis at the discretion of aibl. aibl does not guarantee an upgrade is applicable and aibl retains the right to decline upgrade requests at any time, for any reason at its discretion.

Early bird pricing windows are final unless otherwise adjusted by an active promotion. After the pricing window has closed, the expired rate will no longer be made available and cannot be retroactively applied.

If an attendee is found using a discount code that was not provided for the code's intended use, the purchaser's ticket will be cancelled, and no refund will be issued. 

aibl discounted tickets are not eligible for resale. Any resold tickets will be immediately considered void and ineligible for a refund. 

Tickets and add-ons are subject to individual promotions and cannot be combined or redeemed against one another. Any discount provided for these add-ons will not be applicable after a purchase transaction has been completed. Discounts must be applied before purchase confirmation when selecting available products. 

Tickets distributed as part of a partnership package are applicable exclusively to the contracted company. The agreed number of complimentary tickets cannot be exceeded. Complimentary tickets will only be valid for said company unless otherwise specified by a member of the aibl team. 

Discount codes cannot be redeemed onsite at the event.

19. Live Events
The events, information, and speakers listed on our sites are subject to change without notification. 

Unused tickets/passes will be forfeited and are not transferable to another event. 

Ticket holders may not sell, offer for sale, offer at auctions, resell, donate, act as commercial agent for another party or otherwise transfer their tickets in any way without the specific prior written consent of aibl.

20. aiblLIVE Events Code of Conduct
aibl is committed to promoting a culture that is centred on integrity, accountability, and ethical business conduct. aibl expects all event attendees to adhere to high ethical standards and to avoid engaging in any activity that involves even the appearance of impropriety. By attending or participating in an aiblLIVE event, the registrant agrees to adhere to this code of conduct. 

aibl affirms the principle of equal employment and business opportunities without regard to any protected characteristic under the Equality Act 2010, including but not limited to race, religious belief, national origin, colour, sex or gender, gender identity or expression, age, mental or physical disability, pregnancy, marital status, genetic information, sexual orientation, or any other characteristic protected under UK law. aibl policy prohibits harassment in any form and aibl expects event attendees to practice and promote an event environment free from harassment and discrimination. 

aibl reserves the right to limit attendance at its events, at its sole discretion. If an attendee does not comply with this code of conduct, aibl reserves the right to remove them from the event (including without a refund), prohibit attendance at future aiblLIVE events, and/or pursue other means necessary to appropriately address failure to comply with the code. 

Please immediately raise any issues or concerns that surface at an aiblLIVE event to the onsite aibl staff at the registration desk and/or contact the onsite security team.
